Choose what people see on their dashboard when they sign in: one layout for staff, another for members, and others for the ways people join.

How dashboards work

A dashboard is a grid of widgets, such as My Status, Operating Hours or Low Stock. A layout is a named arrangement of widgets. Your space keeps its layouts on Settings › Dashboards.

Everyone sees only the widgets they have access to. A layout that holds Low Stock shows it to staff who restock and leaves it out for students. The other widgets close the gap.

Every space starts with two layouts:

  • Staff and admins: the full staff dashboard, from Summary Stats and Admin Overview to Facility Access.
  • Members: My Status, Operating Hours, My To-dos, My Training, My Bookings & Loans and My Areas.

The member widgets

  • My Status: whether the person can use the space. It lists their account standing, each waiver they still need to sign and each entry requirement they still need, with a link to each. It says All set when nothing is missing, and warns when their access ends within 14 days.
  • My Training: trainings they have started, how many more are open to them, and the credentials they hold.
  • My To-dos: their open to-dos (see To-dos).
  • My Bookings & Loans: their upcoming bookings and what they have checked out, with due dates. It shows bookings only when Reservations is on, and loans only when Loans is on.

Which layout someone gets

MakerOps picks the first of these that applies:

  1. A layout set on the person’s page, or chosen on their invitation.
  2. For staff and admins: the Staff and admins default, whichever way they joined.
  3. The layout of the way they joined: their sign-up link, single sign-on or the Sign up link on your login page.
  4. The Everyone else default.

Changes reach people straight away. Edit a layout, or point a sign-up link at another one, and everyone on it sees the change the next time they open their dashboard.

The exception is anyone who rearranged their own dashboard with Customize. They keep their arrangement until they click Reset, which puts them back on their layout.

Make a layout

You need the Edit settings permission.

  1. Open Settings › Dashboards and click New layout.
  2. Enter a Name, such as “Students”.
  3. In Start from, choose Member starter or a copy of an existing layout.
  4. Click Create and arrange. Your dashboard opens in edit mode, titled with the layout’s name.
  5. Drag widgets to move them and resize them from any edge. Click a widget’s name in the row of widget names to show or hide it.
  6. Click Save.

The widgets show your own data while you arrange them, and every widget is available, including member widgets.

To change a layout later, click Edit layout beside it. The icons beside it rename, duplicate or delete it. You can’t delete a layout that is one of the two defaults. Choose another default first. People on a deleted layout move to the layout for the way they joined.

Choose the defaults

On Settings › Dashboards, under Defaults, choose a layout in Staff and admins and in Everyone else. Staff and admins covers every staff role, not only admins, so student workers keep their task and maintenance widgets.

Hand a layout to the people who join a certain way

Each way in has a Their dashboard choice. Default dashboard means the Everyone else default.

  • A sign-up link or your login page’s Sign up link: on Settings › Onboarding flows, click New sign-up link or Edit on the card, and choose in Their dashboard.
  • Single sign-on: on Settings › Onboarding flows, under Single sign-on, choose in Their dashboard.
  • An invitation: in Invite Member, choose in Their dashboard.
  • A bulk invitation: on Bulk invite, choose a layout beside Also add everyone to groups…. It applies to everyone in the batch.

When a role can’t see a layout’s widgets

Their dashboard checks each layout against the role the people will have:

  • A layout that role can see nothing on can’t be chosen. It is listed with the reason, such as “nothing Student can see”.
  • A layout that hides some widgets from that role asks you first. It names the widgets they won’t see. If you click Use it, the same list stays under Their dashboard.

MakerOps refuses the layout again when you save. This also happens if you change a link’s role to one that can see nothing on its layout.

Set one person’s layout

You need the Edit members permission.

  1. Open the person in People › Members & Groups.
  2. In the Dashboard section, choose a layout. Automatic means the layout for the way they joined. It shows which one that is.

If they rearranged their own dashboard, the section says so. Click Reset their arrangement to put them on their layout.

Your own dashboard

Anyone can rearrange their own dashboard. Click Customize, drag and resize the widgets, show or hide them by name, and click Save. Click Reset to go back to your layout. Your arrangement belongs to this space only. Another space you belong to keeps its own.
