You can book time on a machine, a room or a workbench, then see, move or cancel your bookings. Staff decide what is bookable and set the limits. That setup is in Machine reservations.

All times are your space’s local time. If your phone is in a different time zone, the app says so above the times.

Find something to book

  • Web: open Scheduling › Book a Resource. The list shows rooms, workbenches and spaces first, then machines grouped by type. Use the search box to find one by name, type or area.
  • App: open More › Reservations, or the Reservations tile on Home, and tap +. The list is split into Rooms & areas and Equipment.

You can also start from a machine’s own page:

  • Web: open the machine from Facility › Equipment & Fleet and click Book this machine in its Book time card. Its Calendar tab has a Book time → link too.
  • App: open the machine from the Equipment tab, tap Schedule, then tap Book time.

Either way, the booking page opens with that machine chosen. If the button is missing, you can’t book that machine yet. See When you can’t book.

Some rooms and workbenches need staff approval. They’re marked Approval required on the web and Approval in the app. Your booking starts as Pending until staff approve it.

Book on the web

  1. On Book a Resource, click the machine or room in the list. Its calendar for the week appears, with other bookings, booking rules and closed hours marked.
  2. Use the arrows beside Week of … to change week, or click Day for one day at a time.
  3. On the calendar, click an open time, or drag across it to choose the length. A Book … panel opens beside a New booking block.
  4. In the panel, check Date, Start and End. Dragging the block changes them too.
  5. Add a note under Note (optional) if staff should know what you’re making.
  6. Click Book. You land on My Reservations with “Reservation confirmed.” or “Reservation requested — awaiting approval.”

For a machine, a line above the calendar lists its limits: the longest booking, how far ahead you can book, and how many upcoming bookings you may hold.

You can book the same way on a machine’s Calendar tab. Click or drag across open time, then click Book in the panel. You stay on the machine’s page.

Book in the app

  1. On Book a reservation, tap the machine or room.
  2. Under Day, tap a day. The strip starts at Today and runs at most 14 days ahead.
  3. If Duration is shown, tap how long you need.
  4. Under Start time, tap a time. Greyed times can’t be booked. Tap one to see why.
  5. Enter a note under Note (optional) if staff should know something.
  6. Tap the Book … button, which shows the time you picked. “Reservation confirmed” or “Reservation requested — awaiting approval” appears.

The day’s booking rules are listed above the start times, such as walk-up only hours. To book further ahead than the app shows, use the web.

On a machine’s Schedule tab you can also tap open time to book an hour, or hold and drag to choose the length. Then tap Book … in the sheet that opens.

When you can’t book

The machine needs a credential you don’t have. You see “You need … to book this machine.” On the web it shows on the machine’s Calendar tab, and Book this machine is hidden. On Book a Resource it shows as soon as you pick the machine, and Book a slot is greyed. In the app it shows on the machine’s Schedule tab and on Book a reservation, and every start time is greyed. Take the training that grants the credential, or ask staff.

A booking rule covers that time. Staff can make times walk-up only, keep them for a group, or allow a different booking length. Some machines can be booked only inside their booking rules.

  • Web: rules show as blocks on the calendar, such as “Walk-up only · no bookings”. Click one to see who it’s for. If you’re not in its group, it says “You’re not in this group — this time is unavailable to you.”
  • Web, a machine bookable only during its rules: Book a Resource says “only during booking rules” above the calendar. If the time you pick isn’t inside a rule, the booking card says so and Book is greyed.
  • App: the machine’s Schedule tab marks rules Window, or Not for you when they exclude you.

The space is closed. You can’t book while the space is closed. On the web, clicking closed time shows “Closed at that time.” In the app, closed times aren’t offered, and a closed day says “The space is closed this day — pick another.”

If a booking is refused, the message says why:

MessageWhat it meansWhat to do
”You need … to book this machine.”You don’t hold a credential the machine requires.Earn the credential first.
”The space is closed during that time.”Part of the time is outside opening hours.Pick a time when the space is open.

”… allows … minutes per person here — you have … left.”A rule caps each person’s time inside it.Book less time, or pick another time.
”That time is no longer available for this resource.”Someone booked it first.Pick another time.

Rooms and workbenches can also have a minimum length, a maximum length and an advance limit. Their messages start “Bookings of this resource…” or “This resource can only be booked…”.

See your bookings

  • Web: open My Stuff › My Reservations. Each booking shows its status: Pending, Confirmed, Completed, Cancelled or Declined.
  • App: open More › Reservations. Your bookings are split into Upcoming and Past.

When a booking is confirmed, you get a confirmation with a link that cancels it without signing in. A reminder follows before it starts, 24 hours ahead by default. If staff decline a request, you’re told, sometimes with a note.

Cancel a booking

Only Pending and Confirmed bookings can be cancelled.

  • Web: on My Reservations, click Cancel on the booking, then Cancel reservation. On a calendar, you can also click your booking and then Cancel booking.
  • App: on Reservations, tap the booking under Upcoming, then tap Cancel reservation. On a machine’s Schedule tab, tap your booking to do the same.
  • From the email: open the cancellation link in your confirmation and click Cancel my reservation.

Move a booking

On the web, drag your booking on the calendar to a new time, or drag its edge to change its length. On a machine’s Calendar tab you can also click your booking and click Change time. A moved booking must meet the same rules as a new one. The app can’t move a booking. Cancel it and book again.

At the machine

On a machine with a MakerOps controller, your booking holds the machine:

  • No one else can start it during your booking.
  • Start your session within 10 minutes of the booking’s start. If you haven’t, the booking lapses and anyone may use the machine.
  • A session can’t run into the next person’s booking. It ends when their booking starts.

How a session runs at the machine is in Running a session.
